Administrative Assistant (Temporary)

Job Summary
FCS seeks a temporary Administrative Assistant to support the Middle School Head in the front office. This role involves a range of responsibilities, including front desk reception, database management, maintaining calendars and records, and ensuring effective and courteous communication with students, families, and staff. The position will run from November 5, 2025, through approximately January 9, 2026. Please note that the candidate will have unpaid time off from November 26–28 for Thanksgiving and from December 20–January 4 for winter break.  

Essential Job Functions 
  • Greet visitors, answer the telephone, and communicate messages to employees and students 
  • Handle front entry flow of students and guests into the building 
  • Maintain daily student attendance records
  • Receive and distribute incoming mail
  • Oversee student arrivals, early departures, and late pick-up
  • Maintain the calendars for the Middle School Head
  • Maintain a list of substitute teachers arranging for substitutes as required
  • Oversee RSVP for school events; compile and communicate responses
  • Order and restock office supplies as needed for the employee workroom 
  • Tidy and keep organized the employee workroom, kitchen, and front office
  • Pick up and set up food for Middle School hosted events
  • Troubleshoot and ensure smooth front desk operations and assist on special projects as needed
  • Manage the collection and processing of Middle School field trip forms and waivers
  • Support the school in maintaining a work environment that fosters learning, respect, open communication, collaboration, integration, and teamwork
  • Additional duties as assigned by the Middle School Head and Executive Assistant to the Head of School 

Qualifications and Experience
  • Ability to maintain effectiveness in a busy office setting and willingness to work independently and collaboratively within a team environment  
  • Excellent communication skills (both written and verbal),and discretion in working with confidential information
  • Extraordinary attention to detail, accuracy, and organizational skills   
  • Ability to manage several projects at once and consistently meet deadlines
  • Proficiency in Microsoft Office, Google Suite, and Blackbaud is a plus
